Both financial and descriptive reports are submitted online via the Participant Portal system.
Report templates

The reporting periods of each project are defined in art. 20.2 of the Grant Agreement. Within 60 days after the end of each reporting period, the project coordinator must submit a periodic report. Therefore, project partners usually have 30 days after the end of the reporting period to prepare a report.

Periodic reports consist of:

  • periodic technical report
  • periodic financial report

The final report is submitted by the coordinator within 60 days after the end of the project. Therefore, project partners usually have 30 days after the end of the project to prepare a final report. Reports submitted in the Participant Portal system are signed electronically by a person authorized to do it (Financial Signatory - FSIGN - Marek Sokół, UJ Deputy Bursar).

Reporting and payment

Annual reports

Annual report - this is a report on the project implementation for a given reporting period, submitted in the next calendar year. The Principal Investigator prepares a report in the OSF system, then prints it and submits to the CAWP. The Principal Investigator is responsible for sending the electronic version of the report via the system.
The deadline set by the National Science Center is March 31 of the year following the settlement period, while the deadline for submitting reports (draft and final version of the document) to the CWN is determined by the Rector's Vice-Rector Announcement.
The first annual report on the implementation of projects financed by the National Science Center should be submitted for a calendar year in which the project implementation period was at least 8 months. If the implementation of the project in accordance with the contract ends no later than April 30 of a given calendar year, then the annual report for the preceding year is not required.

Documents in paper version should be signed by the Project Investigator, countersigned by the Faculty Dean and delivered to the CWN in 3 copies.
The report should include information on all changes made in a given reporting year, made both with the consent of the Head of the Unit and by way of an Annex, in accordance with the NCN principles. Please pay special attention to including in the report changes on the form of employment of individual researches. In this case, the researcher should be placed in the report for the second time with the indication of a new form of employment and the costs incurred for the indicated form of employment, respectively, while the planned cost of remuneration is "0".

Final reports

Final report - a report summarizing the entire implementation of the research project. The report should be submitted within 60 days from the date of completion of the project implementation specified in the contract or in the annex to the contract. According to the Announcement of the Rector's Vice-Rector for Research and Structural Funds, final reports (signed by the Principal Investigator and the Dean of the Faculty where the project was carried out) should be submitted to the CWN within a period that allows checking and obtaining required signatures of the University authorities, i.e. at the latest 10 days before the deadline for submitting reports to the National Science Center.
Documents must be submitted in 3 copies.

In this case, the researcher should be placed in the report for the second time with the indication of a new form of employment and the costs incurred for the indicated form of employment, respectively, while the planned cost of remuneration is "0". 
Please remember that not submitting an annual / final report on time or submitting a report that does not meet the requirements set out in the relevant legislation results in the suspension of further financing and authorizes the financing institutions to consider the contract as not being executed and entitles to request to return the project funds.
