Office of the Research Support Centre

Tasks:

  • providing administrative services to the Centre and its subdivisions 

Bureau for the Strategic Programme Excellence Initiative at Jagiellonian University

​Tasks:

  • coordination of and administrative assistance in implementing the programme, in particular:
  • continuous collaboration with entities comprising the inner structure of the EI.JU programme;
  • administrative assistance to the Coordinating Board of the Strategic Programme Excellence Initiative at Jagiellonian University;
  • administrative assistance to the Programme Board of the programme Excellence Initiative at Jagiellonian University;
  • administrative assistance to the International Advisory Board on the Strategic Programme Excellence Initiative at Jagiellonian University;
  • administrative assistance to the actions carried out on the university-wide level and in Priority Research Areas;
  • management of the programme’s budget;
  • monitoring the progress of research and compliance of the programme implementation with the terms of the programme agreement, including advising on proposed amendments to the programme;
  • verification and day-to-day management of the programme’s documents;
  • continuous collaboration with JU and JUMC entities involved in the implementation and management of the programme.

Research Assistance Service

Tasks:

  • management of activities related to the advancement of academic staff and doctoral students as researchers with regard to applying for awards, scholarships, distinctions and research fellowships;
  • preliminary registration and verification of project data in the SAP system;
  • keeping record of research proposals and implemented projects, including entering and updating in the POL-on system the information and data on the projects implemented at JU;
  • drawing up reports, statements and presentations concerning research activities, including collaboration with the Office of Institutional Analysis;
  • disseminating information on funding opportunities for research activity;
  • content management, editing and administration of: the Centre’s website, the EI.JU’s website, JU Project Zone, Strefa ID.UJ and the Centre’s social media profiles;
  • drawing up English versions of the contents generated by the Centre, including the EI.JU;
  • administrative assistance to the Rector’s committee relevant for research ethics;
  • coordination of and support to administrative dealings related to the conferment of academic degrees at the University and activity of JU discipline boards, including communication of the applicable procedures, fees for the conferment procedure, archiving of doctoral dissertations and validation of degrees received abroad;
  • coordination of the management of JU research data.

International Research Programmes Service

Development and Education Programmes Service

Tasks performed by the Services:

  • advice regarding opportunities and terms of securing external funding, including offering information meetings, trainings and individual consultations;
  • assistance in preparing funding proposals and university documents essential in the application for funding in line with formal requirements;
  • verification of formal eligibility of the funding proposals; 
  • assistance at the stage of signing or annexing funding and partnership agreements;
  • advice to projects’ principal investigators and heads of research projects on project management and implementation;
  • monitoring project activities in terms of their subject-specific relevance;
  • offering expertise regarding the compliance of modifications in the projects with the terms of funding proposals, the programmes’ guidelines and internal legal acts applicable at JU;
  • verification of formal compliance of statements on project implementation;
  • cooperation with principal investigators, heads of project teams and administrative entities in inspection and audit proceedings, including involvement in drawing up required documents and supervision of the implementation of post-inspection recommendations;
  • participation in research networks;
  • continuous collaboration with JU organisational entities involved in the implementation and management of projects, specifically entities responsible for project settlement;
  • participation in launching JU’s strategic programmes.   

Legal Assistance Service

Tasks:

  • drawing up specimens of documents concerning the activities of the Centre, acting as consultants and negotiators for consortium agreements, drawing up draft agreements, letters of intent, funding agreements and agreements on the preparation and implementation of projects and with regard to the research activity managed by the Centre;
  • consulting and updating internal legal acts and procedures with regard to preparing and implementing projects and the research activity managed by the Centre;
  • assistance in drawing up appeals, protests and explanatory notes concerning projects and with regard to the rest of research activity managed by the Centre, including supervision and archiving of the formal proceeding of post-inspection protocols;
  • cooperation with project teams in drawing up documents and carrying out tenders for contracts financed under projects and other research activities managed by the Centre, for which the provisions of the Public Procurement Law do not apply;
  • monitoring of public aid granted and received by the University, including de minimis aid;
  • permanent cooperation with JU Legal Team.

Remuneration Eligibility Service

Tasks:

  • verification of the employment forms of the persons participating in project implementation and involved in the research activity managed by the Centre following the guidelines of the programme or the funding proposal;
  • consulting internal legal acts concerning employment and remuneration of persons involved in the implementation of projects and internal legal acts concerning the research activities managed by the Centre in terms of their compliance with the programmes’ guidelines;
  • providing explanations in inspection and control proceedings and with regard to the research activity managed by the Centre;
  •  continuous cooperation with JU’s Centre of Human Resources.
